Travel Arrangements and Policies

Sherrie Brown is this year's travel coordinator.

It is assumed that ALL PLAYERS on the team will attend ALL SCHEDULED TRAVEL TOURNAMENTS unless their respective head coach AND the travel coordinator are notified otherwise (this includes the season ending tournaments). Also, all players are assumed to be traveling on the club provided itinerary unless the travel coordinator is notified otherwise.

SEE TRAVEL EXCEPTIONS AT THE BOTTOM FOR ARRANGING OWN TRANSPORTATION.

Travel lists will be posted on the website. If there is an error, it is your responsibility to notify the travel coordinator immediately.

*** Travel Costs ***
All travel costs will be indicated as a line item on the monthly billing postcard. The total per player cost for the trip will be charged as follows: 50% on the month before departure and 50% on the month of departure. (EXCEPTION: The season ending tournament will be billed monthly - each payment is non-refundable - starting in January of each season.)

*** Chaperones***
The designated chaperone for each team will have air and hotel arranged for them unless the travel coordinator is notified otherwise. All airline and hotel reservations for designated chaperones will be reserved for and paid by the club.
In the case of multiple teams traveling to the same tournament, 2 chaperones will be assigned to share a room. Chaperone rooms paid by the club are for use by the chaperone and/or their family only.
If the chaperone chooses not to utilize the club provided chaperone room, then the chaperone will assume all housing costs for their stay. No discount will be provided.

*** Accompanying Parent(s)***
Parents must arrange for their own hotel & airline unless they are a chaperone. All specific club itinerary (hotel and airline) information for each travel tournament will be posted on the website. Parents should contact the travel coordinator to see if additional airline tickets or hotel rooms are available.

*** TRAVEL EXCEPTIONS ***

If the player/family

  • chooses not to attend the travel tournament OR
  • chooses not to travel on the club provided itinerary

An EMAIL must be sent to the travel coordinator indicating such. Verbal notification is NOT acceptable.

When a travel exception occurs, the financial liability and required notification to the Travel Coordinator is as follows:

  • 65+ days prior : none (EXCEPTION: Season ending tournament fees are non-refundable)
  • 45-64 days prior : players portion of shared costs
  • less than 45 days: players shared costs + airline ticket (if arranged by the club)
